Management & Office Assistant (m/f)

Essential Functions of the Job

  • Managing the time schedule for the COO (This incl. booking meetings, conference calls and travel.)
  • Planning and inviting for executive meetings
  • Preparing and setting up agendas
  • Preparing presentations (Power Point)
  • Compiling and distributing monthly COO reports
  • Preparing correspondence and prioritize items that need attention
  • Administration of travel expenses
  • Planning and booking of team meetings
  • Travel bookings and organization for Management team "Operations"
  • Support HR and Accounting
  • Contact with office/service suppliers & ensuring that the suppliers adhere to the contracts
  • Purchasing and orders (office supplies, etc. Finding new suppliers)
  • Keep in contact with the office building staff (security staff, messengers, etc.)
  • Planning and Implamanting office systems, layouts and equipment procurement
  • Setting up office policies, standards and procedures
  • Achieves financial objectives with respect to office matters by preparing an annual budget
  • Welcome visitors and taking care of the telephone
  • Answering and referring inquiries
  • Preparing Meeting rooms
  • Receiving deliveries



  • Bachelor's Degree ( or equivalent area of study, experience or German Dual profession System)
  • At least 4 years of relevant work experience
  • Proficiency in Outlook, Word, Excel, Access, PowerPoint and Visio
  • Strong verbal and written communication skills
  • Fluent in English and German
  • Ability to prioritize and multi-task as well as problem solving and decision making skills
  • Strong organizational skills
